This Privacy Policy explains how NoteGuild, Inc. ("NoteGuild", "we", "us", or "our") collects, uses, stores, shares, and protects personal information when you use our website, applications, and related services.
1. Scope
This Privacy Policy applies to the services we operate for creating, organizing, sharing, and discussing ideas, notes, files, thought groups, direct messages, and related community features.
2. Information We Collect
We may collect the following categories of information:
- Account information such as your name, username, email address, password hash, profile details, and verification status.
- Content you provide such as markdown notes, PDFs, LaTeX files, attachments, comments, direct messages, thought-group posts, tags, and metadata you choose to add.
- Collaboration and social data such as friendships, follows, invitations, join requests, reactions, moderation reports, and notifications.
- Technical and usage information such as IP address, browser type, device information, log data, approximate location derived from IP, session data, referring URLs, and interaction events.
- Transactional and support data such as customer support communications, abuse reports, export requests, and records of policy enforcement.
3. Sources of Information
We collect information:
- directly from you when you create an account, upload files, send messages, or interact with the service;
- automatically through cookies, local storage, server logs, and similar technologies;
- from other users who invite you to a thought group, send you a friend request, or mention you in shared content; and
- from service providers that help us operate authentication, storage, analytics, email delivery, security, and infrastructure.
4. How We Use Information
We use personal information to:
- provide, maintain, and secure the service;
- authenticate users and manage accounts;
- host, index, render, and organize ideas, files, and discussions;
- support thought groups, invitations, friendships, and direct messages;
- train and operate product features that summarize, classify, cluster, link, moderate, or retrieve your content on your behalf;
- detect abuse, spam, fraud, malware, and policy violations;
- comply with legal obligations and enforce our agreements; and
- communicate with you about service updates, security notices, and support requests.
5. Visibility and Sharing Controls
NoteGuild is designed around different visibility states. Content may be:
- Private, meaning only you and people you explicitly authorize can access it.
- Group-only, meaning members of a thought group or invited collaborators can access it.
- Public, meaning anyone may view it and it may be indexed, linked, summarized, or surfaced in discovery features.
You are responsible for choosing the visibility settings that fit your intent. Public content should be treated as publicly accessible and potentially redistributable by others.
6. AI Processing
We may use automated systems to extract text, generate summaries, cluster related ideas, detect duplicates, recommend tags or topics, assist with search, and flag potential policy violations. These workflows may process content you upload or share, including text extracted from PDFs and other files. Human review may also occur for safety, support, or debugging purposes where permitted by law and our internal access controls.
7. When We Share Information
We may share personal information:
- with service providers that perform hosting, storage, email delivery, security, moderation, backup, and analytics services for us;
- with other users according to your chosen visibility settings and social interactions;
- with advisors, auditors, or acquirers in connection with corporate transactions;
- with law enforcement, regulators, or other parties when required by law or to protect rights, safety, and security; and
- with your consent or at your direction.
We do not sell private note content or direct messages in exchange for money. We may use service providers that process data on our behalf for the business purposes described here.
8. Cookies and Similar Technologies
We use cookies and similar technologies to keep you signed in, remember preferences, protect accounts, measure traffic, and improve the product. You can manage some browser-side controls through your browser settings, but disabling certain technologies may limit functionality.
9. California Do Not Track Disclosure
At this time, NoteGuild does not change its data practices in response to browser "Do Not Track" signals. We do not currently serve third-party advertising on the service. We may use infrastructure, security, storage, and email providers that receive technical information as part of operating the service, but we do not knowingly permit third-party ad networks to track you across unrelated sites through NoteGuild.
10. Data Retention
We retain personal information for as long as reasonably necessary to provide the service, comply with legal obligations, resolve disputes, enforce agreements, and maintain security records. We may retain backup copies and audit logs for a longer period where needed for resilience, fraud prevention, or legal compliance.
11. Security
We use technical and organizational measures designed to protect personal information, including access controls, encryption in transit, hashing of passwords, logging, and monitoring. No method of storage or transmission is completely secure, and we cannot guarantee absolute security.
12. Your Rights and Choices
Depending on where you live, you may have rights to request access to, correction of, deletion of, or portability of personal information, and to object to or limit certain processing. If you are a California resident, you may also have rights under California privacy law, including the right to know, delete, correct, and limit certain uses of sensitive personal information where applicable.
13. International Transfers
If you access the service from outside the United States, your information may be processed and stored in the United States or other jurisdictions where our providers operate. Those jurisdictions may not provide the same legal protections as your home jurisdiction.
14. Children
NoteGuild is not directed to children under 13, and we do not knowingly collect personal information from children under 13 without legally valid authorization. If you believe a child has provided personal information in violation of applicable law, contact us at privacy@noteguild.app so we can investigate and take appropriate action.
15. Changes to This Policy
We may update this Privacy Policy from time to time. If we make material changes, we will post the updated version here and revise the effective date. In some cases we may provide additional notice.
